How to Digitize and Restore Old Family Photos: Scanner, App or Service?

The box usually turns up during a house clearance. Shoeboxes, a few sagging albums with the sticky plastic sheets, an envelope of negatives nobody has looked at since the shop printed them. Everyone agrees it should be dealt with. It goes into a cupboard instead, and the next generation finds it in the same box, five years further faded.

The reason it stalls is that scanning eight hundred photographs sounds like a project, and projects need a start date. It is more manageable than it looks — but only if you decide two things up front: what you are actually scanning, and by which of the three available routes.

Start by Not Scanning Everything

The most common way this fails is treating every print as equally worth the effort. It is not. Sort the box into three piles before any hardware is involved.

Pile one — the irreplaceable. People, faces, and occasions. Weddings, the house you grew up in, the grandparent nobody else has a picture of. Usually a fraction of the box, and the only pile that genuinely matters.

Pile two — the good enough. Holidays, landscapes, duplicates of shots you already have. Worth scanning if the process turns out to be easy, not worth stalling for.

Pile three — no. Blurry, empty scenery, the seventeenth photograph of the same beach. Nobody in fifty years will regret its absence.

Doing pile one first means that if the project dies halfway — and many do — it dies after the important part is safe. Sorting a whole box takes an evening and makes every later decision cheaper.

Turn photos over while you sort. Anything written on the back is often more valuable than the image, because it is the last person alive who knew the names writing them down. Photograph the back too if there is handwriting.

The Three Routes, Compared

Ordered by cost, cheapest first — you can check that yourself against the price column.

Route 1: A Phone App — Free, and Better Than It Sounds

Google PhotoScan and similar apps take several exposures from slightly different angles and merge them to remove the glare from a window or a ceiling light. The result is noticeably better than simply photographing a print, and for a phone screen or a shared album it is fine.

Where it wins. Nothing to buy, nothing to post, and it works on photos still glued into an album — the ones with the sticky plastic overlay that will tear the print if you pull it out. It is also the only route your aunt in another city can use on her own box next weekend.

Where it loses. Resolution and colour accuracy. You are not producing something you could print poster-size, and a stack of two hundred is genuinely tedious. Cropping is approximate.

Choose it if the pile is small, or the photos are stuck in place, or you want something done tonight rather than something perfect next month.

Route 2: Buy a Scanner — Best Quality, Most Control

Two kinds are worth distinguishing. A flatbed scanner handles anything you lay on the glass, including negatives and slides if it has a transparency unit. A photo feeder scanner takes a stack of loose prints and pulls them through automatically, which turns a weekend into an afternoon but cannot handle negatives, anything mounted, or anything fragile.

The settings that actually matter:

  • 300 dpi is enough for a print you will view or reprint at the same size.
  • 600 dpi is the sensible default for prints. It gives you room to crop or enlarge later and costs only disk space.
  • 1200 dpi and up for negatives and slides — they are tiny, so every bit of resolution is real detail rather than magnified grain. 2400 or 3200 dpi is normal here.
  • TIFF for the master, JPEG for sharing. Save the archival copy as TIFF or the scanner's lossless format, then export JPEGs to send around. Every time a JPEG is edited and re-saved it loses a little more.
  • Turn off automatic "enhancement." Scanner software loves to sharpen and boost contrast. Do that later on a copy, not permanently to the only file you have.

Choose it if the collection runs to hundreds of prints, or there are negatives and slides — those are usually the highest-quality originals in the whole box, and they are the ones services often charge most to handle.

Route 3: Mail It to a Service — No Time, No Equipment

Services take a box, scan everything, and return the originals with a drive or a download link. Legacybox, ScanMyPhotos and similar operations handle prints, slides, negatives, and often videotape and film reels in the same box. Prices vary widely by volume and by how much hand-handling is required; check current rates directly rather than trusting a number in an article, because this market repackages its pricing constantly.

Where it wins. Volume, and formats you cannot handle at home. Old cine film and videotape effectively require a service.

Where it loses. You post the only copies of your family photographs to a warehouse. Read what the provider says about tracking, insurance and what happens if a box is lost, and consider sending in two smaller shipments rather than everything at once. Turnaround can run to weeks.

Choose it if the volume is genuinely large, or the box contains film, tape or slides in quantity.

What Restoration Can and Cannot Fix

Once things are scanned, some of them will look their age. It helps to know which damage is repairable before paying for repair.

Usually fixable: overall fading, colour casts — that orange shift on 1970s prints is the dye layers ageing at different rates — dust and small scratches, low contrast, mild blur, and creases in flat areas of the image.

Fixable with effort or expense: tears through a face, missing corners, water damage, heavy mould marks. These need something reconstructed rather than corrected, and that is where a skilled human still beats an automatic tool.

Not fixable: detail that was never captured. A photo out of focus in 1962 is out of focus permanently. Software that claims to sharpen it is inventing plausible pixels, which on faces means it is inventing a face — subtly not the person you remember. Be careful with that on the only picture of someone.

A reasonable order of operations: crop and straighten, correct exposure and contrast, then colour, then spot out dust, and only then consider anything more aggressive. Always on a copy. The scan you made is the negative now, and it should stay untouched.

Name Them and Back Them Up, or You Did This for Nothing

IMG_0043.jpg in a folder called scans2 is a file nobody will ever open again. A workable convention is date, then who or what, roughly:

Approximate dates are fine — 1968 alone beats nothing. Add the names into the file name while someone still knows them; a comment field inside the file is easier to lose than the file name itself.

Then back up properly, because a single external drive is not a backup. Three copies, on two kinds of media, one of them somewhere else — a cloud account counts as the somewhere else. Photos that exist only on the laptop are one spilled drink away from being exactly where they were in the shoebox, minus the shoebox.

Then Actually Let People See Them

This is the step that gets skipped, and it is the point of the whole exercise. A scanned archive on a hard drive is safer than a shoebox and just as private.

Sending a folder link to the family works for a week and then everybody loses the email. What tends to survive is a single place with a stable address: a shared album, or a memorial page where the photographs sit alongside the names, dates and stories that explain who is in them. The advantage of putting them somewhere others can add to is that scanning almost always shakes loose more photos — a cousin has the ones from the other side of the family, and they arrive months later.

If you are digitizing after a death rather than as a general project, the scanned set is also the raw material for a slideshow at the service, and somewhere permanent to share them afterwards means the effort keeps paying out rather than ending on the day.

Frequently Asked Questions

How long does a box of 500 photos take? By phone app, roughly six to eight hours spread over evenings. On a flatbed one at a time, closer to fifteen or twenty. With a photo feeder, an afternoon. Sorting first is what removes most of it.

Should I scan at 300 or 600 dpi? 600 for prints. Storage is cheap and you cannot rescan a photo you have thrown away or returned. Go higher only for negatives, slides, or prints smaller than a playing card.

Are the photos stuck in the sticky-page albums ruinable? Often, yes — pulling can lift the emulsion off the print. Scan them in place through the plastic first, so you have something regardless. Dental floss slid gently under a corner sometimes works; heat and solvents usually cost you the photo.

Is a phone scan good enough for a memorial page? Yes. On a screen, at the size a page displays a photo, a careful phone scan is hard to distinguish from a flatbed scan. The difference shows up in printing and enlarging.

What about the negatives — worth bothering? If you have them, they are usually the best-quality version of the image in existence, better than the print made from them. They are the pile most worth a proper scanner or a service.
